Attachments
 

NOTE: Multiple attachments may be associated with a document. Attachment and CDRL attachment size will depend on the community's request and System Administrators capability to increase or decrease size attachment. Currently the attachment size is being set to 6 MB for attachments and 5 MB for CDRL attachments; however, this is subject to change. To double check the original file size to ensure that the byte count does not exceed the recommended number, right click on the original file, click on properties and check the number of the files actual byte size.


The naming convention for attachments is as follows:

  • Underscores may be used in the file name. No spaces are allowed in the file name.
  • The document name is case sensitive and must exactly match the name of the attachment being sent.
  • The attachment must be submitted prior to the submission of the transaction. If multiple attachments are submitted, they must have unique names.
  • If for any reason the original transaction with an attachment fails import to WAWF, the attachments must be resubmitted as well as the transaction.
  • Multiple attachment files may be submitted.

The following File Extensions are not static and can be modified by the PMO using ECP380 functionality.

WAWF document initiators and processors may add an attachment to a document. This may be done during the document creation phase, the Inspection, Acceptance, Certification, or Payment Processing. Most attachments scenarios will be done through the “Attachments” tab or “Misc. Info” tab (“Misc. Info” Tab is available to document processor, inspector, and acceptor roles).

To add an attachment to a document:

1. During document creation, attachments will be uploaded within the attachment tab.

*Note that starting PIEE 6.9.0 release, certain WAWF document types require attachment type to be associated with each uploaded attachment during document creation. Refer to ECP1295 in PIEE Enhancements By Release (PDF) for more details. The screenshots below pertain to document creation.

2. To view all warnings, click the “View Validation Warnings”. Upon selecting, a pop-up with the relevant information will appear. Contracts with 52.229-12 tax clause will display a warning when there is no W-14 attachment type identified on the WAWF document.

3. Click the Choose File link and browse for eligible documents, refer to WBT Extension Types and Attachments Types sections on the WAWF Attachments training page for more information.

4. Click the Upload file button to upload the document. When accepted, file will be shown under “Attachment Name”; as demonstrated below.

*Note: The Attachment Type field is only available for web created documents. If a document is created via the FTP or EDI method of creation, the attachments will not have an attachment type. If the document is subsequently rejected to the vendor or recalled by the vendor, the vendor will be required to add the attachment type to any attachments on the document at that time.

1. Verify that the name of the document is correct.

2. Open the dropdown and select the appropriate matching attachment type.

*Attachment type is mandatory. If attachment type is not selected for the uploaded document(s), WAWF will now present an error when trying to change tabs. The error that is shown in the picture below will appear upon attempting to switch tabs and will remain until attachment type is selected.

A user may extract attachments made by other users for viewing/saving. To extract the file:

  • Go to the Attachments tab.
  • Select the View Attachment link.
  • From the dialog box, select either Open to view or Save to download the attachment.
  • The user is able to view the Office 2007 attachments in the application only if the machine has a full version of Office 2007. Also, user can upload and open these attachments.
  • The user is not able to view the Office 2007 attachments in the application if the workstation has the compatibility pack Office 2007, but can upload the attachments and view them from your PC.
  • The user is able to upload the Office 2007 attachments in the application but unable to view if workstation has Office 2003.

Exceptions:

  • NOTE: Selecting Open does not work if your computer does not have an application that permits viewing the appropriate file type.
  • NOTE: File attachments with a .msg extension must first be saved to the client's hard drive. The attachment can then be opened from Outlook by starting Outlook and using Outlooks File / Open command. File attachments with a .msg extension cannot be opened from Internet Explorer browser.
  • NOTE: File attachments with a .htm or .html extension must first be saved to the client's hard drive. The attachment can then be opened from Internet Explorer by starting a new instance of Internet Explorer and using Internet Explorers File / Open command. File attachments with a .htm or .html extension should not be opened from a WAWF Internet Explorer instance.
  • NOTE: When a user is creating a document with the extension "docx" the user will be required to change the file name to remove the Office 2007 system generated "(1)" from the file name before uploading the document within the application.

Only the user who originally attached a file may remove that file. To remove an attachment users must:

  • Go to the Attachments tab.
  • Select the Delete Attachment link.

A “Delete Attachment” option is available on saved documents, recalled (from rejection or original submission) and rejected documents. This option is available to all roles to permit deletion of attachments applied by that role on a given document.

Documents used as the source of a Corrected RR, do not permit deletion of any attachment.

Deleted attachments will be listed on the Comments section of the user's workflow history.


At this time there is no ability to replace one version of a document with an updated version of the same document. The original document must be deleted and then replaced with the new version as a two-step process.
